Introduction 

Our client operates multiple manufacturing plants. Each plant must pay statutory taxes at regular intervals, typically every three months, six months, or once a year. Although the tax obligations were known, the process of tracking and completing payments was not structured. 

There was no centralized system to monitor due dates. Reminders were handled manually. When a deadline was missed, teams often disagreed about who was responsible. This created compliance risks and internal confusion. 

 
The Core Problem 

The client was facing several practical challenges: 

  • Recurring tax payments across multiple locations 
  • No automated reminder mechanism 
  • No clear ownership for each payment 
  • Manual follow-ups that led to delays 
  • Internal blame when due dates were missed 

They needed a reliable system that could assign responsibility, send reminders automatically, and maintain proper records. 

 

What We Did 

We designed and implemented a dedicated Regulatory Tracker Module tailored to the client’s operational needs. 

Our goal was to ensure three things: clear ownership, automated reminders, and documented completion of every tax payment. 

 

How the System Works 

1. Automated Email Reminders 

We integrated the module using Microsoft Power BI automation capabilities. 

  • The system tracks recurring tax cycles of three to six months. 
  • It automatically sends reminder emails one month before the next due date. 
  • The reminder goes directly to the assigned person responsible for making the payment. 

This removed the need for manual follow-ups. 

 

2. Clear Assignee-Based Responsibility 

Each tax payment is assigned to a specific individual. 

  • The assigned person receives the reminder email. 
  • After paying the tax, the individual must mark the task as completed in the system. 
  • The completion status is recorded and visible for reference and review. 

This ensures that every payment has a clearly defined owner. 

 

3. Flexible Assignee Updates 

We understand that roles may change within an organization. 

  • The client can update or change the assignee name whenever required. 
  • The system immediately reflects new responsibility. 
  • All future reminders are sent according to the updated details. 

The tracker works strictly based on the information provided by the client, ensuring full control remains with them. 

 

4. Automatic Recurring Cycle Management 

Tax payments are not one-time activities. They repeat at fixed intervals. 

  • Once a payment is marked as completed, the system automatically calculates the next due date. 
  • A new reminder cycle begins without manual setup. 

This ensures continuity and long-term compliance.
